Sage 50 2018.2 Released

On March 7, 2018 Sage 50 2018.2 was
released. The release offers continued integration and partnership
launches for Sage 50 and Sage 50cloud subscription customers continuing to
provide value through Sage 50 cloud connected services and applications.
Sage Business Cloud Payments (Sage 50cloud and
Traditional) - Sage Business Cloud
Payments enables customers to make managing payments simple and getting paid
easy and effortless.
Sage has partnered with 3
trusted third-party providers who will provide Sage 50 customers with the
choice on how to get paid faster through invoices and point of sale payments.
Sage has partnered with
Stripe to provide customers a quick and seamless way to accept credit and debit
card payments by adding a “Pay Now” link to your invoice emails to get paid
instantly. With this integration, customers can reduce time spent chasing late
payments and reconciling their accounts. Set-up takes less than 5 minutes with
Stripe Invoicing Payments.
Solutions has a new brand name, Paya! Paya technology solutions are industry-tested and have been around for 20 years. Paya is integrated into Sage50cloud.

Windows 10 Stability Improvements (Sage 50cloud
and Traditional). The issue of Sage 50 US Edition 2018.1 and lower unexpectedly shutting down the program due to a change in the Windows 10 update has been resolved in the 2018.2 release.
Sage Drive + Office 365 Compatibility (Sage
50cloud only) . This feature will allow
customers to synchronize data from Sage 50cloud to Office 365 without having to
disable Sage Drive.
In order to make Sage 50
customers’ lives easier, Sage 50cloud has introduced a new messaging Bot call
Pegg! Sage Pegg will give customers greater flexibility to help manage customer
contacts, review invoices and check credit information for your accounts while
on the move, using messaging platforms like Skype and Facebook Messenger!
Sage Intelligence (Sage 50cloud only) - Enhancements include a new
look and feel that’s easier to navigate and allows customers to easily
structure your reports to suit your unique business needs, the ability to
export reports to PDF, the ability to easily create a Management Pack to suit your
business needs and enhancements to the calculator.
Sage Capture (Sage 50 cloud only) - Sage Capture is now available for Android! Sage Capture is a mobile
app that takes images of invoices, receipts and other documentation and uploads
them to Microsoft OneDrive. It is a fast and simple
way to record business transactions in Sage 50cloud and electronically file
paperwork in OneDrive from anywhere.
When purchasing Sage 50 US Edition there are 3 options available for either the perpetual license (you own the software and are not required to pay Sage a monthly or annual fee) or Sage 50c (cloud / subscription -- you do not own the software and you are required to pay Sage a monthly or annual fee or the software will go to read-only).
Here are the 3 options when buying Sage 50 accounting software:
Sage 50 Perpetual License with Basic Support - this provides for 3 support calls with Sage for one year from date of purchase and all software updates and upgrades. To receive these benefits you must contact Sage and provide them with a credit card to activate the business care plan. The drawback to this product is that you MUST remove your credit card information from your account prior to 1 year from date of purchase or Sage will charge your card for the annual renewal fee.
Sage 50 Traditional Support Plan Perpetual License - this provides for unlimited support with Sage for one year from date of purchase and all software updates and upgrades. At the end of the year you can either opt-out and continue to use the software as-is or pay an annual renewal fee to Sage. for those Sage 50 customers that decide to opt out and need technical support in the future we have Sage 50 Certified Consultants that can provide support via remote access. Typically support can be arranged the same day.
Sage 50c - Sage 50c is sold as a subscription license that is renewed monthly or annually. This means you have access to the software as long as you keep your subscription plan up to date. If your Sage 50c Subscription plan expires, your data will go to read only and you will not be able to enter or edit your data. If your subscription plan expires it can be reactivated.

What is the fix for the Sage 50 error message pertaining to maximum number of users that are logged into Sage 50?
The solution for this message is to simply reboot the server. The reason is that there are files on
the server that control the file and record locking for the users. When
Sage 50 is opened and closed these files should also open and close. Sometimes the files do not close due to a “disconnect” between
Sage 50 and Windows and the files remain open. When this occurs Sage 50 recognizes the open files and thinks there are more users
logged in than there really are. Rebooting forces everything to close.
Yes ! This did the trick with my Sage50 2013 edition.
Had that problem after Windows Update on 2 Jan 2018. Initially I thought it was a Windows Defender Firewall issue.
Sage 50 1099 Vendor Report
The 1099 Vendor Report lets you preview the 1099 forms you will submit to the
IRS for your company's 1099 vendors. The report lists the following
Vendor ID and Vendor
1099 Type - Interest or Miscellaneous
1099 Box and Description
Date of vendor transaction
Transaction Amount and Box
Lower Limit Met? for this vendor
Select the Options button to determine the data
that appears on the report. For this report Sage 50 displays the following options:
Dates: Choose the year on which the
report will be based; you can choose from the two currently open fiscal years.
Sorting: You can sort by vendor ID,
vendor name, or 1099 type: INT or MISC.
Summarize Report: Select this check box
to print the report in summary rather than detail format.
Select a filter: First, select a filter
on the left. Then, define the options for that filter on the right. The options
differ based on the filter selected.
Filter Using Default Lower Limits:
Select the check box if you want to use the default lower limits for 1099
vendors. The federal government determines lower limits.
Adjust Limits: If you want to manually set the
lower limits that Sage 50 will use to
filter the report, deselect the check box, and then click the Adjust Limits button. This will open the 1099 and 1096 Forms - Lower Limits window where you can change the limits.
Select the Columns link to choose which data
fields to include and where the columns break on your report.
Select the Fonts link to set the font styles for
the heading and body of the report. You can also have the titles of the report
show special codes, such as the current period, today's date, an as-of date, and
the company name.

How to Print 1096 Forms for 1099 Vendors in Sage 50
The 1096 form summarizes the 1099 forms that you send to the IRS for
your 1099-type vendors. Form 1096 is required whenever you submit paper 1099
When you mail 1099 forms to the IRS, you must group them together and attach a
separate 1096 for each group of 1099 forms. Because the 1096 is a special
machine-readable form, it should always be printed on the IRS regulation pre-printed form rather than
To print Form 1096, follow these steps:
Insert the blank pre-printed 1096 form into your printer. Sage 50 supplies a plain and pre-addressed
version of the form.
From the Reports & Forms menu,
select Forms, then Tax
Forms. Sage 50 displays the Select a Report or Form window.
From the Forms list, select either the Form 1096 - Preprinted or Form 1096 Pre-addressed Pre-print. Sage 50
displays the Preview and Print filter screen.
Verify that the payroll year is correct.
Enter the name of the person at your company who acts as contact;
this will appear in the "Name of person to contact" box on the printed 1096.
If you want to manually adjust lower limits, which are established
by the federal government, click the Adjust Limits
In the 1096 Lower Limits window, set the limits as desired.
In the Payment Method filter, you should select to include the same
payment types that you selected when you generated the 1099 forms.
When finished with the settings in the filter window, select Print/Email.
In the Print dialog, Sage 50
displays the default printer. If you want to print to a different printer, use
the drop-down arrow in the Name field to select a
new one. Otherwise, select OK
to begin printing the forms.
If you get a message that there were no forms to print, you may not have
vendors set up as 1099-type vendors, or the 1099 vendors do not meet the minimum
To print multiple copies, repeat the above procedure.

The end of the accounting year is rapidly approaching for calendar year companies so here are some items you can do NOWto make your year-end less stressful:
If you are running payroll through Sage 50 and haven't installed your 2018 upgrade DO IT SOON! The 2018 must be installed prior to December 1, 2017 in order to maintain the Sage 50 payroll capabilities. The Sage technical support call volume is high November - January ... you don't want to wait for a call back that can sometimes be a business day.
Sage 50 - U.S. Version 2018.1 is scheduled to be released around the third week of
October. We always recommend waiting a few weeks to install a Sage 50 upgrade or update just to ensure that there are no bugs or glitches in the software.
your Sage 50 1099 Vendor report on the screen, select the Columns button from the top menu bar and add the Tax ID Number column to the report. Look for vendors who don’t have a Tax ID Number and who will be paid more than $600 this year for certain products and services. You will need their federal ID number in order to send 1099 forms by January 31, 2018. Obtain the information by requesting them to send you an IRS form W-9 and remember to fill in the Tax ID number on the vendor maintenance record when you receive the completed W-9 form.
Review your Sage 50 Balance Sheet and your Sage 50 Aged Receivables and Aged Payables reports and make sure the Aged Receivables and Aged Payables reconcile to your Accounts Receivable and Accounts Payable account(s) on your balance sheet. If they don’t reconcile research why and make the necessary corrections.
Review your Sage 50 Inventory Valuation report and make sure it ties out to the Inventory Accounts on your Balance Sheet. If they don’t reconcile research why and make the necessary corrections. Also get your physical inventory plans in place!
Review your General Ledger report filtered for all your fixed asset accounts for the current year and make sure all of your major purchases for non-consumable items are posted to these accounts and ready for your CPA to review. This information will be important for tax purposes.
Look at your Profit & Loss report. Where do you stand? If you have a larger than expected profit, are there any major purchases you should make now that can be depreciated? Make sure you have the cash. Talk to your CPA or tax advisor as there may be tax benefits if you make the purchase before the end of the year.
Identify all of the year end reports you’ll need and put them into a Report Group in Sage 50 so they'll be easy to select and run when needed. If there are custom reports you know you’ll require look at getting them set-up using Sage 50’s Intelligence Reporting capability.
Review your Sage 50 Aged Receivables report for past due accounts older than 30 days beyond the original payment terms that may be noncollectable. Flag the accounts and take the next steps in the collection process as quickly as possible. If they aren’t paid by the end of the year discuss with your CPA or tax advisor about writing them off as bad debt.
Back up your data and also restore your data file to test your backups and ensure they’re good. You may want to consider signing up for Sage 50 Online Backup to store your important data online.
Are you at the end of your second open year (Period 23 or 24) right now: You need to run your Year End Wizard to close out 2016 and open 2018.
